Making an auto-entrepreneur quote: content, validity, and converting it to an invoice

What a quote must contain to clearly commit both parties, how long it stays valid, how to handle a deposit, and how to turn it into an invoice without re-entering data.

The quote is the document that precedes the invoice. It describes what you are offering, at what price, and under what conditions. Once accepted by the client, it becomes your reference for invoicing: a good quote avoids most disputes about "what was agreed." This guide covers its content, its validity period, and the move to an invoice.

An unaccepted quote can be edited or deleted. A quote that has been accepted and then converted into an invoice is locked: it is the record of the agreement.

What the quote must contain

The identification block is the same as on the invoice: your name, the words "Auto-entrepreneur," your card number, your NIF if you have one, your contact details, and the client's information. Then:

  • The word "Quote" and a unique number.
  • The issue date and the validity period (see below).
  • A detailed description of each service: what is included, what is not. The more precise the line, the less room for discussion at delivery.
  • Quantities and unit prices in dinars, and the total.
  • The statement "VAT not applicable — auto-entrepreneur regime (law no. 22-23)."
  • The amount in words, preceded by "This quote is set at the sum of."
  • The terms: any deposit, delivery timeline, payment terms.
  • A signature area: "Approved," date and client's signature.

How long does a quote stay valid?

Nothing requires a specific duration, but always state one: thirty days is common practice. Once that period has passed, you are no longer bound by the proposed price and can issue a new quote. Without a stated validity period, a client could come back months later demanding the original rate.

Handling a deposit

For a project spanning several weeks, asking for a deposit is normal. Two ways to formalize it:

  1. On the quote, by stating "30% deposit on order, balance on delivery."
  2. Through a deposit invoice issued when payment is received, which counts toward revenue as of its date. The final invoice then mentions the deposit already paid and the remaining balance.

An invoiced deposit is revenue: it counts toward the IFU and the cap.

Converting the quote into an invoice

Once the work is delivered, the invoice reproduces the quote exactly, with its own number and a reference to the original quote ("Per quote QUO-2026-0031 of 12/08/2026"). Do not change the line items at this stage: if the scope changed along the way, first issue a revised quote accepted by the client.

A refused or unanswered quote

Mark it as refused or expired, without deleting it: it documents your proposals and pricing over time. If the client comes back later, duplicate it to start fresh with a new date and a new validity period.
